Task Manager — How It Works

What is the Task Manager?

The Task Manager replaces Monday.com for internal Canwil task tracking. It lets you assign work to staff, set priority flags and due dates, and keep a threaded record of progress — all in one place.

Creating a Task

Click + New Task to open the form. Fill in:

  • Title — short description of what needs to be done
  • Assignee — who is responsible. They get an email notification.
  • Due Date — task turns orange when due within 2 days, red when overdue
  • Priority — 🔴 Urgent, 🟡 High, 🔵 Medium, ⚪ Low
  • Category — Customer, Vendor, Production, Sales, or Admin
  • Linked Entity — optional reference to an order #, issue ID, or SCAR report

Task Workflow

Open — task created, assignee notified by email

In Progress — assignee is actively working on it

Done — click the circle checkbox or change status to close. Task stays on record forever.

Blocked — use this when something external is preventing progress

Auto-Created Tasks

Some tasks are created automatically by the system — you don't need to do anything:

  • PO Acknowledgment — when a customer sends a purchase order to po@canwiltextiles.com, a task is created and assigned to Nicole and Jaya. Once someone replies to the customer, the task auto-closes.
  • High-Severity Issues — when the email scanner finds a critical customer complaint, it auto-creates a follow-up task assigned to Jaya.
  • SCAR Follow-ups — opening a SCAR report automatically creates a linked task to track corrective action.

Notes & Comments

Click any task to open the detail panel. Scroll down to add a note — anyone on the task can post updates. All notes are timestamped and kept permanently.

What You Can See

  • Nik & Jaya — see all tasks for all staff, including restricted HR tasks
  • All other staff — see only tasks assigned to them or created by them
💡 Tip: Click the circle ○ on any task to instantly mark it done without opening the detail panel. Click again to reopen it.
